Executive Assistant/Office Manager

Executive Assistant/Office Manager

Responsibilities:

  • Ensure facility support service partners (telephone system, document management system(s), internet access, physical plant, cleaning services, etc.) are meeting management expectations.
  • Under limited supervision and on own initiative provide management support that includes, but is not limited to, presentation material research, preparation and execution; management meeting preparation; composition and execution of confidential written communications; maintenance of confidential files; management of special projects in a timely manner; corporate customer, head office staff and employee event planning; meeting and catering arrangements; etc.
  • Manage calendars, travel, and schedule meetings for Country Manager and his direct reports.
  • Assist in human resources administration including offer letters, on-boarding people and benefits along with having basic human resources knowledge.
  • Highly capable of multi-tasking in a busy, demanding work environment and possessing strong prioritizing skills.
  • Communicate effectively with all levels across the broader organization and builds effective professional relationships with all internal and external customers.
  • Assist department heads in completing month-end, quarter-end and year-end tasks for finance department, including tracking of purchase orders, accruals, expenses, budgets and related reports, as needed.
  • Ensure all follow up items for self and internal staff are completed on time, as requested.
  • Field general questions for all internal and external queries.
  • Reception duty (main number re-directed to Office Manager).
  • Direct permanent and temporary administrative staff.

Requirements:

  • College diploma or University degree.
  • Executive-level support (three years minimum) as an Executive Assistant and office manager responsibilities.
  • Successful experience working in a fast-growing, collaborative, busy environment.
  • High energy, personable with the strong ability to prioritize.
  • Microsoft Office (PowerPoint, Excel, Word, Outlook – email applications, meetings and calendar management), internet research and general accounting experience.

Details:

  • Salary:  Up to 90K per annum plus bonus
